What is an Ezine or Electronic Magazine?

Many folks have heard the word Ezine and many may receive them in the email box. The approved definition of an Ezine Appears to be an Electronic Magazine. Yes, it is but I remember the very first ones in 1995 and 1996. They were emailed electronic company newsletters, academic newsletters and such. Then in 1997 we saw Electronic Trade Journals and Industry Association emailed newsletters.

Indeed most of these were rather crude, as they have lines of asterisks across the page signifying the next topic, but those were Ezines too. Many non-profits, museums, government agencies send out Ezines now too, some sub-contract this out some do not.

When does a Museum online Newsletter become a Magazine like the paper copy of the Smithsonian and when is it only an online Newsletter? When does a company newsletter become an Ezine? Because many companies like Costco put out Magazines as company Newsletters. Is it a matter of graphics, which change the definition? Are the predecessors to the Ezine in 1995, 96 and 97 invalid as Ezines?

An Ezine is an Electronic Magazine by pure definition, yet that definition is evolving and today there are Ezines or electronic magazines with Millions of Subscribers and 10s of thousands of online newsletters many of which are calling themselves Ezines with 10s of thousands of subscribers each. Consider this in 2006.

It is amazing to me how few independent professionals, free agents and freelancers have ever sent out an E-Newsletter. Of the many marketing strategies I have tried and used, I can attest to the fact that my eclectic E-Newsletter, Portfolio Potpourri — which recently reached its fourth anniversary — has brought me the most and best business.

Yes, it takes discipline, work, consistency, persistence and commitment.

But it is all worth it for the following top ten reasons:

  1. A well-written e-newsletter about your business topic(s) will establish you as an expert.
  2. \r

  3. It is a great way to build relationships. Remember, for someone to buy from you, or hire you, they must know, like and trust you. Created with that in mind, your e-newsletter will accomplish this.
  4. \r

  5. An e-newsletter is a great way to keep in touch with prospective, new and current clients on a regular basis. It serves as a reminder that you are here for them when they need you and/or your product(s).
  6. \r

  7. It is the most cost-effective way to direct market to customers. Warning note: my feeling is that it is OK to do some selling. Just dont overdo it. I do receive one e-newsletter daily and love it because it is filled with rich and useful content. If I start getting obviously sales oriented e-mails (they dont even qualify as e-newsletters) often, I will unsubscribe quickly.
  8. \r

  9. An e-newsletter can give a reason or reasons for readers to return to your website and/or sites. I always feature clickable articles as an incentive.
  10. \r

  11. It has been established and proven that the majority of people on the Internet are seeking information — enlightening, inspiring and thought provoking. So, by making sure that you are providing this in your e-newsletter, they will stick with you.
  12. \r

  13. Through asking for and receiving feedback from your readers, you will get ideas for your upcoming issues and your website(s).
  14. \r

  15. You will grow your distribution (mailing) list — important for future mailings and offers. The larger your list, the more chances for Joint Venture opportunities with other Internet marketers.
  16. \r

  17. By creating and writing on a regular basis, you will gain experience that will serve you well when you are adding content to your website(s) and info-products.
  18. \r

  19. A regular, successful e-newsletter will not only provide confidence and self-esteem for you, it will also be FUN! Despite the work involved, I look forward to creating my e-newsletter, and always learn something new from doing it.

Designing Interactive PDF Newsletters Why And How?

Question: How can you disseminate a graphically interesting, beautifully designed small book to a large number of people cheaply?\r Answer: Email a PDF.

Almost every computer has Adobe Reader (formerly called Acrobat Reader) and PDFs are widely used as a way to present information with a fixed layout similar to a paper publication.

Question: Why make a PDF newsletter?\r Answer: Its cheap. Why pay for printing when you can get you readers to do it themselves?

The advantages of PDF publishing over internet publishing are:

  • No need to worry about browser or platform differences or complying to standards if you can view a PDF properly in Reader the chances are that everyone else in the world can.

  • You can use any font you want.
  • Vector graphics appear pin sharp at any magnification.
  • You dont need an internet connection to read or print it.
  • PDF newsletterAh, I hear you say, the web is interactive but PDFs arent. Wrong again! So you want to make a cool, interactive, screen resolution PDF for emailing to multiple readers? How? Use Adobe InDesign. Obvious, I know, but you wouldnt believe how many people are still trying to do it in Quark.

    Format, body copy and image

    Landscape, portrait or square. Its your call. I know what I prefer landscape all the way. The perfect format to go for is A4 in the UK and Letter in the US so it prints out on everybodys printers and a horizontal orientation (on its side) so it fills the monitor.

    No need for spreads so leave Facing Pages unchecked in the New Document dialog box in InDesign. Set some columns and margins if you wish, leave bleed at zero, and lets get going

    Always design for the lowest common denominator. So if your PDF is being read on a 15-inch screen then you will have the type at 12 point at least. Prefer vector graphics to bitmapped images as they will appear sharp and smooth at any magnification on the PDF. Keep images RGB and make them as colourful as possible. And dont be afraid to use large high resolution files for the bitmapped images, theyll be made smaller when the PDF is exported.

    Navigation

    One of the first things you need to do is to set up a master page. Master pages are used for elements that need to be repeated on multiple pages, for example page numbers, headers and footers.

    In a PDF newsletter you may want the newsletters name repeated top left or right, a home button to return to the contents page or a couple of arrows to go to the next or the previous page. All these elements should be put in the master page. Do it here once and itll be repeated throughout the whole document.

    Here we must use InDesigns powerful interactive tools. I find its better to make buttons with no fill and no stroke. Either choose a button from the toolbar or an empty rectangle and go Object > Interactive > Convert to Button. It works the same way. Do not use an element such as picture or text to make interactive.

    Double click your button with the Selection Tool or go Object > Interactive > Button Options with your button selected and you will get the all important Button Options dialog box.

    In this dialog box you will see two tabs. The first is General. Here you have three fields. The first is name, this is for you give it a name. The second is description, this is for your readers it is the tip that appears when their mouse hovers over the button. So, depending on what the button is, put in a handy navigational tip like go to contents page. Finally, choose Visible for your Visibility in PDF.

    The second tab is Behaviours where you will see two drop down menus. On the Event drop down menu, I choose Mouse Up. This is for when people have clicked down on the button and then released, whereas Mouse Down is for when they have only clicked down.

    The second drop down menu is the Behaviour whatll happen when the button is clicked. Here you can select one of 15 different actions.

    Select the Behaviour you want, click Add (very important) and OK, and your Behaviour has been set. For Exit, Close, Go To First Page, Go To Last Page, Go To Next Page and Go To Last Page this is all you have to do. For every page you use in your InDesign document and the resulting PDF this interactivity will work beautifully. For navigation and interactivity: Do it in InDesign, dont do it in Acrobat Professional.

    Setting Bookmarks

    For setting a Button Behaviour to go to a certain page you need to set an Bookmarks in your InDesign document. This is very easy!

    Pick the page in the main body of your InDesign document that you want to set as your anchor by double clicking on it in the Pages palette. In the Bookmarks palette (go Window > Interactive > Bookmarks) make a new Bookmark either by clicking on the arrow on the palette and choosing New Bookmark or by clicking on the Create New Bookmark icon at the bottom. Give your Bookmark a memorable name.

    Then when you are setting the Behaviour of a Button you choose Go To Anchor and select the Bookmark you require (and the zoom).

    Now this will work even if you move the pages around in your InDesign document and if you double click on a Bookmark in the Bookmarks palette InDesign will jump to that page while youre designing, making it a handy navigational tool of its own!

    Exporting the PDF

    When you are exporting the PDF direct from InDesign choose the Smallest File Size preset. In Options, make sure you have Optimize for Fast Web View checked. In Include, make sure you have Hyperlinks and Interactive Elements checked. You may like to check your Bookmarks as well.

    In Compression, you may want to Downsample the Color and Greyscale Images to 72ppi in order to keep the file size down. Keep the quality at Medium. If size doesnt matter then bump up the resolution in order to keep the images nice and crisp.

    Hit Export and, there you go! Youve made an interactive, screen resolution, printable PDF. Clever!

        1. Give freebies to your visitors. Show your appreciation to your readers by giving away bonuses. This may in the form of eBooks or coupons. If they are visitors of non-competing websites, you can also write a review of their products and services.

        2. Write the articles. You can establish yourself as the best person in your field by writing articles. You can also invite more subscribers for your website in this manner. This will serve as your promotional tool.

        3. Build relationships with other publishers. It pays to get to know them. This is because they can help you in maximizing your exposure. You can either swap featured or sponsored articles as well as solo ads.

        4. Include endorsements or testimonials. You can include reviews of your readers about your ezines into your website. This will build your reputation as a great deliverer of quality information.

They did not send out the Ezine, it is only available online at their site. Would their Electronic Newsletter or Magazine not be an Ezine? Often they are labeled Ezines, but alas they were never emailed so by the absolute definition they would not be Ezines, they do not qualify? But the people who make them sure believe they are Ezines?

        Now then, if we do not call these Electronic Magazines and Newsletters Ezines, that is okay definitionally speaking, but what are they called then? You can understand why this HUGE debate has erupted like an Indonesia Volcano and a wild-firestorm of Typhoon winds. But for now the definition is standing against the pressures of Mother Nature. You cannot call your Ezine an Ezine unless you send it out by email. Consider all this in 2006.

        7 Ways You Can Make a Huge Impression With Your Ezine Welcome Message

        Many times I receive a Welcome Message from someone after I subscribe to their ezine that leaves me wondering what I just jumped into. A welcome message is one of your first contacts with your subscriber, and it should say something that sets you apart from everyone else right at the get-go. It is, after all, one of your first impressions with prospective customers and first impressions absolutely do count on the internet. Not only is your welcome message a natural opportunity for you to connect with your subscribers, its also your chance to make sure they remember you with positive anticipation so that they will be eager to open up your next message when it arrives.

        Here are my Top Seven tips for what goes into making a great Welcome Message (and some suggestions on what to avoid).

        1. Be positive and upbeat. This communicates a winning attitude. So many of the welcome messages I have received were as dry and matter-of-fact as a stale piece of bread. Your welcome message should convey an element of excitement and passion about the topics covered in your ezine, as well as your eagerness to serve the needs of your subscribers. You should also give them a heads-up about who you are and what they can expect from you in the future.

        2. Show them what they can expect from your ezine. Setting their expectations is one of the most important things you can do right from the start, and when done in a clearly defined manner will save you from many complaints later on. If you show them up front what you intend to deliver, you will remove any cause for disappointment later on. Say something like: You can expect one or more of the following features in every issue of my ezine and then go on to list some of the recurring topics you plan to address, with some brief comments about why those topics are so important. Better yet give them a link to a sample edition or your archives so they can discover for themselves what to expect. Dont just explain, demonstrate to your subscribers why your ezine is uniquely qualified to be their best resource in your niche.

        3. Whet their appetite. Doing this creates an element of suspense (which is something you definitely want to do). Have you ever said to somebody, I know something you dont know? Ever notice how some people simply cant wait to find out whatever it is you know? Well, this technique has a similar effect by creating a sense of positive anticipation for what is to come in future editions of your ezine, or future projects you have planned for your subscribers. You can create a sense of anticipation by saying something like: In the next issue I will reveal a new product that no one else in this industry knows about, and it will save you literally hours of time every month in your business. Doing this frequently gives your readers a solid reason to want to check out the next issue of your ezine just make sure that what you finally have to say was worth the wait. Be sure to tell them when the next issue will be arriving in their in box.

        4. Identify your ezine in the subject line. The subject line should always identify you or your ezine as the source of the message. Doing this communicates an element of consistency, and makes it easier for them to identify and file your messages now and for future reference. Many times I see a subject line that simply says Thank You for subscribing. With the volume of email I get every day, I have no clue where this message is coming from. For all I know, it could be spam. You should clearly identify the origin of the message, and personalize it. For example:

        KK ezine Welcomes Katie: Its Great to Have You Onboard!

        You should also make sure the subject line begins with the same text every time, so your subscribers can easily identify you when they see your email and reference or archive your ezine in the future. For example:

        KK issue 102 for Katie: Helping Your Customers With Search Engines

        Helping Your Customers With Search Engines

        This message could have originated from almost anyone. You want your your subscribers to know that it came from you. This is also important for another reason: If your welcome message includes valuable information and the recipient needs to get at it quickly a few weeks from now, all he needs to do is conduct a search for the term KK and hes got his finger on ALL your messages in a matter of seconds.

        5. Provide some valuable information or offer a free gift. Doing this communicates your willingness to begin meeting their needs immediately. Right from the very start, you can begin giving your subscribers what they are looking for. This means that you must have a clear and accurate understanding of the needs in their niche. Make sure your welcome message provides them with a link to a free and valuable ebook, report, or article that will be of interest to or will solve a problem common to them. Be sure to include a set of clear and concise how to instructions for accessing or using whatever youve given them.

        6. Remind them why they are receiving this message from you. Doing this communicates that you are attempting to be considerate. Believe it or not, some people may not remember that they subscribed to your ezine (crushing, I know). Or, someone else may have subscribed using their email address. In any case, its always wise to include a comment something like this in your opening remarks:

        Hello Katie, this is Kevin Wirth, and Id like to extend a warm welcome to you for subscribing to Kevs-Korner ezine. This is just a reminder that you or someone using your email address subscribed to Kevs-Korner from my web site at http://www.kevs-korner.com or at one of my other web sites. If you did NOT subscribe, you can choose to unsubscribe at any time by clicking on the link at the end of this message.

        7. Ask them what they want to hear about from you. Doing this communicates that you are truly focused on their needs, not yours. And this is one of the most powerful things you can communicate to your subscribers, because they want to know whats in it for them when they sign up to receive your ezine.

        One ezine editor recently included this comment in the welcome message he sent to me:

        \”If there was one thing you KNEW you could COUNT on reading (or discovering) in every issue of my newsletter, something that would cause you to NEVER miss reading it, what would that one thing be?\”

        This is a great way to let your readers know you care about what matters to them, and it opens the door for them to give you their all-important feedback. Taking this approach is an excellent way to help ensure that you are providing information your subscribers expect or want to see.
